How to Create Races

The RACES tab is where you will create all of your Races & Events. Every single race that’s run on your track(s) must first be setup here. Once you have created your heats, you will be able to schedule them on the venue in your POS.

Step 1: Navigate to Races Tab

// In the Races tab, you will be able to create individual heats & build Events

  • Click the 'Races' link on the left side of the page.
  • Then, on the right is the “New Heat Type” button, go ahead and click this now.  Your new heat will appear below. 

 

Step 2: Edit New Heat Type

// Enter in the settings for each individual Heat Type. Once you are done, click the Floppy disk icon, on the right, to save!

 

Right Column

 

  • Heat Type Name: Give your heat a name (ie: 14-Lap Adult, 5 Min Practice, 30 min Enduro). 
  • Enabled: This check box will enable or disable a race so you don’t have to delete and recreate races, you can just disable it and re-enable it once you want it available again.
  • Win By: BestLapTime or Position. Essentially, a position race is where the first to cross the finish line on the last lap wins, or BestLapTime where your single fasted lap time determines how you finish.
  • Speed Level: Select the appropriate Leaderboard list. Click here to learn how to setup your Speedlevels!
  • Duration: This is approximately how long the race is. It has no effect on the actual race but it does change how much time is blocked off in the Venue when you schedule this race. For example, if you set the duration to 10 minutes, this means when you schedule a race at say 10am, the next available time on the Venue will be 10:10am, 10:20am, etc...
  • Practice Heat: If this is checked off(ON) then the race will run like normal and a winner will be declared, however Proskill points will not come into play and none will be awarded or docked.
  • Allow online reservation: This is where you allow the race to be scheduled from the web via online booking.  
  • Entitled Heat:  This functionality is no longer supported, please do NOT check the box.

 

Left Column

 

  • Track: If you have a multiple track facility this is where you will choose which track this race is to be run on. Each Track needs to have its own heats and events created.
  • Race By: This is where you choose whether you want your race to be run by laps or by time, ie. either a 14 Lap race or a 10 Minute race.
  • Length: If you chose NumberOfLaps above then this will be the number of laps you’d like your race to be. If you chose Time above, this would be the amount of time in minutes.
  • Ignore if Below (S): This is where you can tell Clubspeed to automatically throw out low lap times. If you know it is practically impossible to get a 21 second lap time on your track you would probably set this number to 18 or so. This means when weird accidents happen where someone crosses a line and backs up over it or gets in a new car and then crosses the line under 18 seconds the “lap time” will automatically be thrown out. And it will not count in the scoring of the race. This helps mostly with your top time of the week, day, month ect. 
  • Racers Per Heat: This is where you set the number of racers in each race. This is not a binding number as Clubspeed will allow you to go over this number, but it helps the front desk in seeing how many spots are still open in a race.
  • Cadets Per Heat: If you allow smaller karts out with the big karts, you can set a specific number of these cadet racers to be 
  • added into your heats. This setting is strictly based on age, so any racers under a certain age (ie: 8 years). Support would need to set this cadet age in the database. 
  • Event Only: You will ONLY set your Tournament races to this. This setting will hide these heats from the regular heat list, keeping it much more organized and easier to navigate on the front end!
  • Cost?: This is where you will set the “cost of credits” for the race. Meaning each customer will need to have X amount of credits on their account to get into “XYZ race”. Normally, we go with 1 credit per Race. We suggest your tournament races are set to zero here.
  • Credit Type: Race Credit ... This credit type is set by default. 
  • Member Only?: If your customer needs to have a specific membership on their account in order to be allowed into this specific heat, then you will click the NO link and a new window will open for you to select which membership(s) is required. Learn more about creating memberships here!

 


 

NOTES

Multi-track facility - The heats are not interchangeable between tracks. If you run the same heat type on both of your tracks, you will need to create one heat for each track. 

 

Event Heats - You will need to create each individual race type in an event in order to create an event. You can 'double dip' on your event heats like Practices and Qualifiers. So you only need to make one for all of your events, if they do not have different settings (IE: Laps vs Time) EX: You can use the same practice heat in as many events as you'd like, as long as they are all run on the same track (see above). Will go into more detail on 'How to create an event'
