Online Booking Check-in Process
So your customer booked an activity online, and now you need to know how to complete the check-in process in house!
This article will walk you through the process of checking in the customer and closing out the check.
NOTE:
The booking customer will always be added to the Heat/Activity automatically upon completion of booking.
If they also booked for a guest, the system will reserve a spot for them. Once they arrive onsite, the cashier will add the guest to the Heat/Activity.
Registration/ Check-in
// There are 2 scenarios we need to cover; Whether your customer (and their guests) have been to your facility before, or if they are a returning customer.
Step 1
Scenario 1: New Customer
Let's say your booking customer has never been to your facility before. At the time of booking they had to create an account, so this means you have all of their needed information in the system already. All they need to do now, is sign for their waiver.
Scenario 2: Booked for themselves and a Guest(s)
For the guest(s)
NEW = Have them register at the registration kiosk as normal
RETURNING = You can have them check-in at the reg kiosk, or you can add them to the queue manually from the venue.
POS - Check
// Now that your customer has completed their registration & waiver, we will need to pull their Reservation up in the POS so we can clear out the points (guests) and close the check to complete the sale.
Step 2
1. From the POS, click the Find button on the center menu.
2. Enter in the Reservation ID (Check #) and click OK the View the check
- You can also search by the booking customer's name
3.a If the booking customer only reserved for themselves, go ahead and close the check now & head to Step 3.
3.b If the booking customer has guests on their check, we will need to add the guests to the heat/activity. By doing this, the reservation points will be removed from the check. Once this is completed, you can return to the check and close it.
VENUE - Heat/Activity
// Checking your booking customer is in the heat they selected & assigning guests to the heat/activity.
Step 3
1.a Locate the time slot your customer booked into, and confirm their name is in the queue for that particular Heat/Activity.
- If they did not book for any additional guests, you are all done! Let them know they can head over to their event and get ready.
- If they booked for guests, continue to 1.b
1.b Based on Step 1(registration), your customer's guest names should already be waiting for you in the queue.
2. Select the heat/activity, as if they were a walk-in customer, and assign the guest to it.
3. You will be prompted with a window asking if this customer has a reservation. Select YES, and then enter in the Reservation ID (Check #). By doing this, the reservation points will be removed from the check.
- At this point, you can return to the check in the POS to close it out!
